Writing a letter for any kind of leave, including for exam purposes, is a professional and polite way to give your employer advance notice of your request. Applying for leave in written form also gives you a hard copy of the request that you can show at a later date should you need to provide evidence. As with all professional letters it is important that you write clearly and concisely. Your letter should be short and simple, using straightforward wording. Often you will discuss the situation with your employer and then go on to write the letter to be kept in your personnel file.

Header the letter with your name, position in the company, address and any other contact details you deem necessary. It is important to put the date you are writing the letter clearly at the top of the page. Dating the letter can prove to be of vital importance should anyone need to access your records and check when exactly you applied for the leave. Address the letter to your supervisor, manager or whoever will need to deal with your request.  It is likely that you will know the person’s name, so you can ‘Dear’ to begin the letter. The first thing you should write is exactly what your request is, what dates you are asking to be excused from work for and why you need the leave. You do not need to give all of the information about your plans, it will be sufficient just to state that you need the time off for exams. If you feel it necessary, state why you think the exams may benefit your role within your work. If you give a valid reason with enough notice then it is highly likely that your employer will be willing to be flexible. Emphasis the date that you are expecting to come back to work and sign the letter with ‘Sincerely’.
