A letter of thanks for approval of leave should be brief and concise, rather than turned into a lengthy ramble that misses the point.

  • Addressing your boss

Your boss will have lots of tasks, correspondence and demands to answer to. Receiving a brief three or four line thank-you will provide him with a pleasing distraction from his routine tasks. Granting leave can sometimes be problematic and getting a note of thanks will be appreciated and helps develop the bond between staff and management.

Your boss will know that the leave is important to you, a short message of thanks will be noted and confirms that granting the leave was the right decision.

  • What should I say?
Three lines are all that is needed. In the first line thank your boss for granting you the leave and state the dates involved. In the second line, you can perhaps mention the reason for the leave and what you will be doing during this time. Finally make some light-hearted remark to sign off on, promising your boss your 100% commitment to the firm before and after your annual leave.

  • Print or type?
A hand written note is perfectly acceptable. Ensure that it is on good quality paper and not scribbled onto a scrap of paper or has anything else on it. Keep your hand writing as clear as possible and make sure that there are no spelling errors!

A typed letter of thanks may look too formal to some, but others will look on it as you showing a bit of effort and acting in a professional manner. As long as you show your thanks in the right type of language either format will be equally acceptable.
